1. Describe the complete load
List the cargo type, number of pieces, packed dimensions and total weight. Include the longest item and whether goods are palletised or bundled. Add photographs where they help. If a measurement is an estimate, label it as an estimate so the vehicle is not selected using an assumed specification.
2. Give both locations and the site conditions
Send pickup and delivery map pins, not just state names. Describe gate access, narrow roads, vehicle-height limits and where the lorry can stop. Name the contact at each end. If there are several stops or a return load, include them in the initial enquiry.
3. Confirm timing and handling
Give the preferred date, pickup window and latest receiving time. Explain who loads and unloads and whether a forklift, crane or extra crew is needed. Include delivery-order requirements and possible waiting time. A requested date becomes a booking only after the arrangement is confirmed.
